Subscriptions - Dashboard and Layout
A Subscription is an automated, scheduled process that sends to a specified user an email that contains information related to Data View Layouts and Dashboards . These subscriptions are usually created when editing the Data Views and Dashboards themselves, but they can also be managed centrally here in the Subscriptions section. The Subscriptions section has a Dashboard itself that provides the following information for all users of Asset Vision:
- Total Active Subscriptions: Total of all Dashboard and Layout subscriptions.
- Total Non-Active Subscriptions: Total of all Non-Active Dashboard and Layout subscriptions.
- Number of Subscriptions with Failures: Total of all subscriptions that have failed to have successfully emailed the end-user.
- Top Dashboards: Most popularly-subscribed dashboards in the organization.
- Top Layouts: Most popularly-subscribed layouts in the organization.
Dashboard Subscriptions
A Subscription to a Dashboard provides an automated email that contains the actual contents of the dashboard, with data current at the scheduled time when the email was generated. (For more information, see the lesson on Dashboard Subscriptions here) This allows the user to view the email without having to log in to Asset Vision to view the dashboard. Below is an example of the contents of an email sent from a Subscription.
As stated before, a Subscription is usually created while a user is working with the Dashboard itself. However, Dashboard subscriptions can be managed here in the Activity Tracking section under Dashboard Subscriptions.
Clicking the Edit button (pencil icon) for a given record allows you to make changes to that subscription. From there, you can:
- Enable (set to Active) or disable the subscription.
- Change the dashboard referenced.
- Change the user to whom the subscription is sent.
- Modify the email schedule.
Layout Subscriptions
A Subscription to a Layout provides an automated email that contains a link which allows the user to download the latest results of the data view. The file downloaded is in the format specified in the subscription, with data current at the scheduled time when the email was generated. (For more about layouts, refer to the Data View Layouts lessons).
As with Dashboards, Data View Layouts are usually created while a user is working with the Data View itself. However, Layout subscriptions can be managed here in the Activity Tracking section under Layout Subscriptions.
Clicking the Edit button (pencil icon) for a given record allows you to make changes to that subscription. From there, you can:
- Enable (set to Active) or disable the subscription.
- Change the user to whom the subscription is sent.
- Change which layout is used for the subscription.
- Modify the email schedule.
- Modify how the attributes of how the layout will be delivered.
