Working with Data View Layouts

Data Views provide a lot of information in a small space. A good way to help format the data so that it is consistently consumable is to use Layouts. Layouts allow you to save the data view exactly as you want to see it, and then recall that layout anytime you return to that data view.

Saving a Layout

First, format the data view the way you want to see it, setting attributes such as:

  • Columns Hidden
  • Column Order
  • Sorting
  • Group By
  • Selected/Applied Filters and Scope Settings

Once the data view is exactly how you want it, save it as a Layout:

To save the Layout:

  1. Click the Save Layout button (the "disk" icon in the upper right-hand corner of the window).
  2. In the Save Layout dialog, enter a short, descriptive layout name.
  3. For the Save as: dropdown, choose who will be able to use the layout:
    • Layout for all (can be used by any user of Asset Vision)
    • Layout for my role (can be used by any user that is defined by my role)
    • Layout for me (can only be used by me)
  4. Click OK.

Once the Layout is saved, it may be recalled easily anytime when browsing to the data view:

Load Layout

To load a saved layout:

  1. Click the Layouts button (the "four square" button in the upper right-hand corner of the window).
  2. Select the desired layout under the Layout Name: dropdown.
  3. Check the Auto Run: checkbox to automatically run a pre-defined scope setting for data views that have scopes.

The saved layout will reformat the data view to the exact specification you selected when creating the layout.

Modifying an Existing Layout

Existing saved layouts can be modified and resaved if you should need to do so.

To Modify an existing layout:

  1. Click the Layouts button (the "four square" button in the upper right-hand corner of the window).
  2. Select the desired layout under the Layout Name: dropdown, and click OK. Once the layout loads, make the desired modifications to the data view.
  3. Once the modifications are satisfactory, click on the Save Layout button.
  4. You will be presented with a Save Layout dialog that is pre-populated with the current layout name.
  5. Click OK without modifying the layout name, and the layout will be modified.
Subscribing to a Layout

A subscription to a layout is an automated process that sends an email containing a link that will allow you to download a .csv of the last run of the layout.

To subscribe to a layout:

  1. Click the Layouts button (the "four square" button in the upper right-hand corner of the window).
  2. Select the desired layout under the Layout Name: dropdown, and click OK.
  3. Once the layout loads, click the Subscribe button (the "envelope" button in the upper right-hand corner of the window).
  4. In the My Subscription dialog, set the Schedule (Daily, Weekly, Monthly, or Not Scheduled)
    Note: Not Scheduled can be used to remove an existing schedule from a layout. It does not delete the layout, only the schedule.
  5. Set the remaining export settings, or leave as default.
    • Fields Separator: This is the character that will separate the fields in the table. If the user wants a comma delimited file then they should enter a comma here.
    • Date Format: The format used for date fields.
    • Quote Char: The character that will be used for string values.
    • Line Separator: The character that will be used for new lines.
  6. Click Save.

Depending one the schedule chosen, you will receive an email with some links in the body, similar to the following:

Subscription Email

The links in the email have different purposes, each to a different location in the Asset Vision UI:

  1. The first link will open the Home >> My Layouts menu item (See Managing My Layouts and Subscriptions section below for more information). It will also download an .csv export of the data from the data view in the format of the layout.
  2. The second link will open the actual data view with the layout already loaded.
Managing My Layouts and Subscriptions

Saved data view layouts and subscriptions are stored in the UI and can be managed in the My Layouts section of the Home menu item.

Manage Layouts

From here, Layouts and Layout Schedules can be viewed or deleted.

To delete a Layout or Layout Schedule:

  1. Check the item or items that you wish to delete.
  2. Click the Delete selected button.
  3. Click Yes to delete, and No to cancel and close the dialog.
Layout Subscription Status

From here, you can also:

  1. Determine the schedule frequency of the subscription email
  2. View the status of the last subscription email
  3. Directly download the last result of the subscription
